Your WhatsApp number is blocked and your entire flex pool is unreachable. No shift offers, no confirmations, no recruiting. For an agency that needs thirty people on site tomorrow, that is not an inconvenience. That is a full stop.
This guide covers why it happens, how to work out what exactly is going on, what you can do today, and how to make sure it does not happen again.
Why WhatsApp blocks your number
WhatsApp was built for personal conversations, not for an agency messaging hundreds of people at once. Meta's enforcement systems recognise that pattern and step in:
- Too many messages, too little conversation back. Lots of outbound, few replies, and it looks like spam.
- Commercial content from a private number. A personal number behaving like a company stands out.
- Group chats with large groups. Those get shut down automatically.
- Reports, or being blocked by contacts. A handful of workers reporting you is enough to raise a flag.
- Messaging many new numbers in quick succession. A hundred unknown contacts in one morning is a strong signal.
- Unofficial apps. Variants like GB WhatsApp or WhatsApp Plus almost always end in a block.
Four phones with four SIM cards does not solve this. It multiplies the number of numbers that can disappear, and you lose your overview as well.
Blocks come in waves
This does not only happen to companies pushing their luck. Meta tightens enforcement periodically, and then a lot of numbers go down within a few days.
That happened again in July 2026. Within a week we saw staffing agencies, debt collectors and credit companies lose their business number at the same time. Companies that had been sending for years without trouble were suddenly unreachable for both their staff and their customers. Most of those blocks were temporary, but a full day of not being able to send or receive is already enough to hurt when you need a crew on site the next morning.
What stood out about that wave: it hit more sectors than earlier rounds. Where it used to be mostly agencies with heavy outbound traffic, this time it reached industries that did not see themselves as at risk at all.
So the fact that you have been fine so far says very little. Mostly it says the next round has not come past yet.
Restricted or blocked? Work out which one first
The right response depends on the situation, so start by working out where you are.
A temporary restriction. You can open the app and you see a notice with a countdown, from a few hours to several days. This is a warning. Change nothing about how you send, and a heavier step is close to certain.
A permanent block. You cannot log in and you are told your account is blocked. There is no end date. Your only route is an appeal.
A sending limit. You still receive messages, but you cannot message new contacts. This is not a ban but a brake, and often the last signal before things do go wrong.
If you are in the first or third category, you still have time to move over without losing your number. That is the moment to act.
What you can do today
Stop sending bulk messages from this number. Every extra message confirms the pattern you were caught on.
Appeal. In the app, choose "Request a review" and explain that you are an agency informing workers about shifts. For a permanent block you can also go through WhatsApp support. An answer usually takes a few days.
Sort out reachability for today. An appeal takes days and the outcome is uncertain, so make sure your pool can still be reached in the meantime. Call your regulars for tomorrow. Put a temporary message on your other channels. Keep a list of who you could not reach.
Set up the real fix in parallel. Do not wait for the appeal before moving over. Getting onto the official platform takes a few days, and that time runs whether you wait or not.
Will you get your number back?
Sometimes. There is no guarantee, and the odds depend on your history. If you have never been restricted before and your traffic was modest, there is a reasonable chance. If this is your second or third time, that chance is small.
What matters more is what happens next. Get the number back, keep sending the same way, and you will lose it again, usually faster than the first time, because you now sit in a different risk profile. An appeal treats the symptom.
WhatsApp Business gets blocked too
This surprises almost everyone we talk to, so to be clear: the free WhatsApp Business app does not protect you from a block. That app falls under the same policy as regular WhatsApp. You get a business profile, a catalogue and quick replies, but nothing changes about enforcement. Send bulk messages with it and you are out just as fast.
There are two different things that are both called "WhatsApp Business":
| Business app | Business Platform | |
|---|---|---|
| Who it is for | small business, one phone | organisations sending at scale |
| Bulk messaging | leads to a block | what it was built for |
| Number verified | no | yes, by Meta |
| Multiple team members | barely | yes |
| Messages pre-approved | no | yes, through templates |
The official platform is the business route. Your number is verified, you send through approved templates, and you need explicit opt-in from your workers before you message them. That sounds like more work, but that structure is exactly what a private number lacks, and it is the starting point here.
How to prevent it for good
On the Business Platform it works differently. Meta knows your number as a business number, so large volumes are no longer a suspicious signal. Your messages are approved in advance, so you do not run into content rules. And you build a quality rating: if people respond well to your messages, you are allowed to send more.
That rating is also your dashboard. If it drops, you know you are sending too often or too impersonally, well before anything breaks. On a private number you find out when it is already too late.
For an agency that means, in practice:
- Messaging your whole pool without thinking about limits
- Several planners on the same number
- Seeing who read and who replied, instead of guessing
- No more backup phones and loose SIM cards
Worried about losing your current number when you switch? Through Coexistence you stay reachable on the same number, so your workers notice nothing.
What this means for your agency
A blocked number feels like bad luck, but it is the predictable result of sending on a channel that was not built for it. As long as you are on a private number or the free Business app, it is a matter of time and volume.
So the question is not whether you want to run the risk, but when you move: now, or after a week without a recruiting channel.
